Creating an invoice

Go to Get Paid → Invoices → New Invoice, pick a client (or add one inline), and add line items. Invoices support:

  • A deposit or split payment schedule
  • Custom sections for anything beyond line items
  • File attachments
  • Letterhead — your logo and a banner color
  • A per-invoice list of accepted payment methods, plus a toggle for Square online payment

An invoice number is generated automatically but you can edit it. If you've started filling one out and step away, it silently saves as a draft — nothing is lost.

How clients pay

Every invoice includes a secure payment link powered by Square. When a client pays, the invoice updates in real time — no manual reconciliation needed.

Recording payments yourself

Not every payment happens through the link — use Record Payment to log cash, check, bank transfer, PayPal, Venmo, Zelle, or a card payment taken another way.

Partial payments and balances

Clients can pay in installments if you allow it. The amount paid is always capped at the invoice total — your balance math never goes negative.

Marking as paid, refunds, and undo

Mark as Paid settles the balance instantly and offers a short window to undo — available only when there's no real Square transaction behind it, so a genuine card payment is never accidentally reversed by mistake. Refunds route back through Square, and if an invoice has both a deposit and a balance payment, you can choose which one to refund.

Turning an invoice into a contract

Convert to Contract creates a linked draft contract from an existing invoice, carrying over the details so you're not starting from scratch.

Deleted invoices

Deleting an invoice doesn't erase it right away — it moves to Recently Deleted for 30 days in case you need it back.
