Managing Bookings

The Bookings list

See every booking with search, status filters (Confirmed, Scheduled, Pending, Completed, Cancelled, Declined, No Show), a mini calendar, and quick sidebars for what's coming up next and a breakdown by status. On the web dashboard, an Overview view gives a denser at-a-glance layout with a "Today" card and a month calendar you can click into for any day's bookings, to-dos, and time entries.

Booking status

A booking moves through Scheduled/Pending → Confirmed → Completed, or can be marked Cancelled or No Show at any point before it's closed out. Once a booking reaches a closed state, it's locked in as historical record.

Booking detail

From any booking you can:

  • Edit the details
  • Record a payment (if an invoice is already linked — otherwise create one first)
  • Create an invoice pre-filled with the client and amount
  • Jump to the client's profile
  • Add the event to your calendar
  • Delete it (soft-delete, recoverable for 30 days — the same safety net as invoices)

If a booking was set up as a virtual meeting, its Zoom or Google Meet link shows right on the detail screen.

Adding a booking manually

Use New Booking to add one yourself — for a walk-in, a phone booking, or something you're logging after the fact. You can mark it as virtual (CalendTree will check that Zoom or Google Meet is connected first), link it to a client or organization, and even log revenue that was already collected for it.

Calendar sync

Confirmed bookings can automatically appear on your connected Google Calendar and, on iPhone, your Apple Calendar too — see Calendar & Video Meeting Sync.
