Receipts & Expenses

Receipts

Log a receipt with its merchant, total, subtotal, currency, payment method, and a category — Equipment, Software, Travel, Meals, Marketing, Office Supplies, Subcontractors, Insurance, Utilities, or Other.

On iPhone, you can scan a paper receipt and CalendTree will read the details automatically using on-device Apple Intelligence — no typing required, and the scanned data never leaves your device to be processed. These receipts are marked with an "Extracted by Apple Intelligence" badge.

Receipts can be linked to a specific project, and the list can be filtered to Linked or Unlinked.

Turning a receipt into an expense

Use Create Expense on any receipt to convert it into a formal expense record. Non-meal categories are automatically marked tax-deductible by default (meals typically aren't fully deductible, so they're left unmarked for you to review).

Expenses

The Expenses view shares the same category list as receipts and shows This Month, This Year, Tax Deductible, and All Time totals, with a spending breakdown by category.

Expenses on a project

Expenses can also be added or linked directly from a project's detail page — see Project Pipeline — which keeps that project's profitability numbers accurate.
